The Best Display Stand for Corporate Events and Exhibitions

The Best Display Stand for Corporate Events and Exhibitions

The best display stand for corporate events is the one that matches the space you actually get on the day. For a conference stand with a few metres of wall, that is a pop up stand bundle with a counter and lights. For a networking evening or a small event with a table, a roller banner and printed tablecloth does the job. For an awards night, a fabric wall with no panel joins that doubles as a photo backdrop works best. Pick the one for the event type you go to most often, then add one or two pieces for the others.

Below I go through each type of corporate event, what the space usually looks like and the kit I would buy for it. Sizes and weights come from each product page, and prices are live Stand Central prices, ex VAT, checked on 24 October 2026.

What your stand needs to suit the event space and your brand

Corporate events are less predictable than a trade show. You might get a 3m x 2m space at a conference, a trestle table at a members’ lunch or nothing but a corner of a hotel bar at a networking evening. Before you buy, it is worth checking four things, because the answer decides which display solution makes sense for your budget:

  • The space you are given. Ask the event organisers for the width, whether there is a back wall or a table, and how close guests will stand. A 2.7m backwall is wasted at a table-top event, and a desktop banner gets lost in a full exhibition space.
  • Who sets it up. If it is you, in a suit, an hour before guests arrive, choose a tool-free kit that is easy to set up on your own.
  • Lighting in the room. Hotel function rooms and conference halls can be dimmer than an exhibition hall, so a kit with its own spotlights keeps the printed graphic and your logo readable.
  • How often you will use it. If the same team is attending multiple events a year, put your brand, logo and main message on the main graphic panel and keep it generic, so it still works long after the event it was bought for. A display is an investment, and your marketing team will get more from it if it is not tied to one date.
  • How it travels. Weight and bags matter more than you think when you are carrying kit through a hotel lobby or a lift.

The best display stand for a conference

Conferences that sell sponsor or exhibitor spaces usually put them along the side of the main room or in the break-out area, often with 2m or 3m of stand space and a wall behind you. In a crowded event venue, a full-height wall is what gets you noticed over the heads of people queuing for coffee. For that I would go for a pop up stand bundle, because it gives you a full-height printed wall, a counter and lighting from one order. The Quick+ pop up stand bundle 3x3 with counter and lights builds a 2.7m wide, 2.23m tall straight backwall, with a wheeled Zenith case that turns into a counter and two LED spotlights that fit the top of the frame. The frame opens with a scissor action and its magnetic locking arms click home, so one person can put it up without tools. It costs £757.95 ex VAT and weighs 22.5kg in total.

A Quick+ pop up stand bundle with its case used as a counter.

One thing to know is that the Quick+ case is a counter shape, but the tabletop and printed wrap are sold separately (the Zenith case table top is £90.95 ex VAT). The Impact pop up stand bundle 3x3 is the same size and also comes with two spotlights, but its case includes a hinged beech tabletop, so it works as a counter for brochures, a small product display and a laptop straight out of the box. It costs £792.95 ex VAT and weighs 23kg.

  • Choose the Impact bundle if you want a working counter from day one without adding parts.
  • Choose the Quick+ bundle if you already have a table at most of your events and want the lower price.
  • Choose a 3x2 bundle if the conference only gives you 2m of wall. The Quick+ 3x2 bundle builds 1.97m wide and costs £654.95 ex VAT.

Adding a screen for product demonstrations at a conference

If your product or service is easier to explain with a video or a live demo, a screen on the backwall saves you crowding the counter with a laptop. The screen mount for straight pop up stands fits the straight Quick+ and Impact backwalls and holds a flat screen up to 540mm and 5kg, with VESA 50, 75 and 100 fixings. That suits a small portable monitor or a light display screen rather than a full-size TV. It costs £108.95 ex VAT, and the product page recommends pairing it with pop up stabilising feet for extra support.

Choosing a display for small events and networking evenings

Small events, such as a members’ breakfast, a local business show or an open day, usually give each company a table rather than floor space. Here a full-height wall is too much. The Rhino roller banner and tablecloth bundle is the kit I would start with: an 800mm x 2000mm roller banner and a 1780mm x 2780mm printed tablecloth, for £169.95 ex VAT. The tablecloth is 100% recycled polyester with an open back, so you can sit behind it and keep bags and boxes out of sight. Together they weigh about 6kg and the banner packs to 300mm x 200mm x 1500mm. You can also have different artwork on each piece at no extra cost.

If the table sits against a wall, put the banner beside it rather than behind it, so it is still visible when people gather in front. If you only get half a table, a tablecloth is still worth it, because a branded cloth is what people remember when every table in the room looks the same.

The best display stand for a networking event

Networking evenings are different again. Guests stand and move around, there is often no table for you at all, and the room is usually a bar, a function room or a hotel lounge. What works best is a small portable display that carries your name at eye level wherever you end up standing. On a poseur table or a shared high table, the Breeze desktop roller banner A4 is 240mm wide and 335mm tall, weighs 0.2kg and costs £55.95 ex VAT. It pulls up from its base and the two-piece pole hooks onto the top rail, so it only takes a moment to put up. If you want something a little bigger, the Breeze A3 is £58.95 ex VAT.

If you are hosting or sponsoring the evening, you will want one freestanding piece near the entrance too. The Rhino bundle above works, or a 600mm Formulate Monolith fabric totem if you want something that looks a bit smarter in a hotel. It is 600mm wide and 2.38m tall, with stretch fabric over a slim aluminium frame and a weighted steel base, weighs 4.9kg and costs £277.95 ex VAT.

The best display stand for an awards night

At an awards night or gala dinner, the display has a different job. Guests are photographed in front of it and winners pose with it, so it is in the pictures people share afterwards. That is why I would pick a fabric wall over a pop up with panels. The Soft Touch 3m straight fabric display builds 2.95m wide and 2.32m tall from a push-fit aluminium frame with a stretch fabric graphic, so there are no panel joins running through your photos. It costs £388.95 ex VAT, packs into a 750mm x 270mm x 270mm box at a 6.5kg shipping weight, and the fabric is fire rated to DIN 4102-1 B1 and machine washable at 30 degrees.

Put a fabric totem at each end and you have a framed backdrop that looks finished from any angle. Two 600mm totems at 2.38m tall sit just above the 2.32m wall, as the diagram above shows. If the venue asks for fire-rated display materials, which some hotels and conference centres do, the fabric rating on the product page is the detail to send them. Check the venue’s own rules first though, as each one sets its own.

Pop up display stands vs a fabric or modular display system

Most event displays fall into three types of display system, and each one suits corporate events a little differently. This is how I would compare them:

  • Pop up display stands. A folding aluminium frame that opens in one piece, with printed display panels that hang on the front. The Quick+ and Impact frames use PVC-free polyester panels (worth knowing if your company has sustainability targets) and magnetic locking arms, and the case doubles as a counter. A pop-up display is the quickest way to get a full-height wall and a counter from one bag and case.
  • Fabric displays. A push-fit aluminium frame with a stretch textile graphic pulled over it, like the Soft Touch range. There are no joins in the print, the frame packs small, and the fabric can be washed, which helps if it is used every month.
  • Modular display. A modular stand is built from sections that join together, so the same kit can be set up in more than one configuration. Our Illumigo modular LED lightbox wall comes in 3.85m, 4.85m and 5.85m widths, from £1,849.95 ex VAT, with extension sections to make the display wall wider. That is more than most corporate events need, and it suits a company that also books a big stand space at trade shows.

For most corporate teams, a pop up or fabric display is the right choice. Choose modular stand designs only when the same kit has to work in different exhibition spaces, such as a large stand or a corner stand with two open sides.

When the company books a full exhibition stand

Some corporate events, such as an industry conference with an exhibition area, give you a proper 3m x 3m space, often next to professional exhibition stands from other companies. If you want one order that covers the lot, the Complete Exhibition Stand Starter Kit 3x3 includes a 2.4m Soft Touch fabric wall, a fabric monolith totem and a square fabric counter, all tool-free and supplied with carry bags. The wall is 2350mm wide and 2320mm tall, and the counter is 800mm wide and 1010mm tall with a 35kg maximum load. It costs £999.95 ex VAT and has a 1-year hardware warranty (graphics excluded).

If your space is exactly 3m x 3m and you want more options, our guide to the best exhibition stand for a 3x3 space compares every kit we sell for that size. If you would rather keep your own table and add a smaller counter, the Hop-up fabric pop up counter is 1.06m wide, weighs 7.4kg, folds into a wheeled bag and costs £332.95 ex VAT.

How a corporate event display differs from an exhibition display

At a trade show or exhibition, every stand on the exhibition floor is competing for the same visitors, so the display has to stop people in the aisle from a distance. At most corporate events you are one of a handful of sponsors or suppliers, guests are there for the talks, the dinner or the networking, and they pass you at close range between sessions. That changes what is worth paying for. Height and lighting still help at a conference, but at a networking evening or a gala dinner it matters more that the display is quick to set up, small enough for the space and smart enough for a hotel room.

Reuse the same display at your next exhibition or trade show

One set of kit can do both jobs. A pop up stand bundle bought for an exhibition works at a conference, and a fabric wall bought for an awards night works as an exhibition backdrop at a trade show. Keep your brand and main message on the big graphic and put event-specific details on smaller banner stands, and the same kit covers various events through the year, from a hotel conference to a busy exhibition hall. If you also exhibit regularly, our exhibition stands range covers bigger stands for larger spaces.

Mistakes to avoid when buying a display for corporate events

  • Buying for the biggest event. If you do one conference a year and ten networking evenings, a large stand will sit in a cupboard most of the year. Buy for the event you attend most and hire or add pieces for the rest.
  • Putting dates on the main wall. Keep event names, dates and offers on a smaller piece, so the expensive backwall is ready for the next event without a reprint.
  • Forgetting the counter. At a conference you need somewhere to put brochures and a laptop. A case that becomes a counter saves carrying a separate one.
  • Ignoring the room. Function rooms can be dark, so ask about lighting and pick a kit with spotlights if in doubt.

Choosing between a stand, a wall and a banner for each event

Choosing the right display stand comes down to the event you attend most, not the biggest one in the diary. If you are still unsure, this is how I would decide:

  • Conferences with 2m to 3m of wall. A pop up stand bundle with counter and lights, and the Impact if you want the tabletop included.
  • Small events with a table. A roller banner and tablecloth bundle.
  • Networking evenings. A desktop banner for the table, plus a totem if you are sponsoring.
  • Awards nights and gala dinners. A 3m fabric wall with a totem at each end.
  • A full 3m x 3m corporate stand. The 3x3 starter kit.

If your team also takes the kit on the road between shows, our guide to the best portable exhibition displays for traveling sales teams compares the options by weight per bag, and our guide to the best portable signage for exhibition stands covers smaller signs.

Frequently asked questions

How much does a display stand for a corporate event cost?

At Stand Central prices, ex VAT, a desktop banner for a networking table starts at £55.95, a banner and printed tablecloth bundle for a small event is £169.95, a 3m fabric wall is £388.95, a 3x3 pop up stand bundle with counter and lights is £757.95, and the complete 3x3 starter kit is £999.95.

What is the best display for a corporate event?

It depends on the space. For a conference stand with 2m to 3m of wall, a pop up stand bundle with counter and lights. For a table at a small event, a roller banner and printed tablecloth. For a networking evening, a desktop banner, and for an awards night, a 3m fabric wall.

Can one person set up a conference display kit?

Yes. The Quick+ and Impact pop up frames open with a scissor action and their magnetic arms lock into place without tools, and the Soft Touch fabric wall uses a push-fit frame. Allow a little longer the first time you build each one, before guests arrive.

What display works for a networking event with no table?

A freestanding roller banner or a fabric totem near the entrance or bar. The 600mm Formulate Monolith totem is 2.38m tall and weighs 4.9kg. If there is a poseur or high table, add an A4 desktop banner, which weighs 0.2kg and pulls straight up from its base.

Can I add a screen to a pop up stand?

Yes. The screen mount for straight Quick+ and Impact pop up stands takes a flat screen up to 540mm and 5kg, with VESA 50, 75 and 100 fixings. Check your screen size, weight and VESA pattern first, and bring an HDMI or USB-C cable for your laptop.

Is a fabric wall or a pop up better for awards night photos?

For photos, a fabric wall. The Soft Touch 3m wall uses one stretch fabric graphic over the frame, so there are no panel joins in the background of guests’ pictures. A pop up with panels is still a good choice for conferences where you also need a counter and lights.
